GENERAL TERMS AND CONDITIONS
To ensure a smooth and transparent process, all in-person notary services are provided at a single, all-inclusive fee that is agreed upon prior to booking online or over the phone. The final fee you're quoted includes everything necessary to complete your request, such as the notary's time, travel, and any administrative costs for processing and managing the appointment.
Entering in credit card information, is simply authorizing the final fee that has been presented. There is no obligation to proceed, and you are free to decline the service at any time before confirming your booking.
Quoted Services will be provided a payment link to confirm services by advanced payment. All quotes are valid for two hours from the time the quote is provided. Quotes paid after two hours may expire as contractors may no longer be available. When being provided a quote it is always best to promptly accept by initiating, or verifying, payment or checking if the quote is still valid prior to placing payment.
The notary will not be assigned or rendered unless prior arrangements have been made. This means that a notary will not be assigned to your appointment time unless you have paid for your request. If your notary does not arrive within 30 minutes of your scheduled appointment you may receive a negotiated discount prior to your services but you may not cancel your services.
For in-person services. Occasionally delays may occur. If your notary does not arrive within 1 hour of your scheduled appointment you may receive a full refund if no services are rendered. If your notary is 1 hour late and services are still rendered, you may receive up to a 50% discount at management's discretion.
All signings types must be scheduled with a minimum of two hours' notice.
Purchasers understand that an on-time appointment is allowed only 15 minutes grace period before the appointment is considered canceled. This does include signers who refuse or are unable to sign within 15 minutes of the appointment start time. Our mobile notaries do keep a very strict schedule.
Unlimited Ink Notary is a scheduling service for Notaries, Translators, Apostille Agents, and Contractors. Unlimited Ink Notary is not responsible for the actions of their contractors and only assumes responsibility for scheduling. We do keep a copy of our contractors' errors and omissions insurance, current background check, and state licensing on file when applicable. This information is not provided to the consumer and may only be given to legal authorities upon request for the safety of our contractors.
IN-PERSON NOTARIZATION ID REQUIREMENTS & I9 Verification Services
All signers must have proper identification for a notarial act to be performed. Requirements may vary by state. These are examples of acceptable forms of identification, subject to state regulations. This includes:

DRIVER LICENSE OR NON-OPERATING IDENTIFICATION LICENSE Requirements:

Unexpired Issued by: A state or territory of the United States.

U.S. PASSPORT Requirements: Unexpired. Issued by: The United States Department of State

ARMED FORCES IDENTIFICATION CARD Requirements: Unexpired Issued by: Any branch of the United States Armed Forces and contains a photo and signature.

OTHER GOVERNMENT ISSUED IDENTIFICATION CARDS Requirements: Unexpired; contains the customer’s photograph, signature and physical description including: height, weight, eye color, and hair color. Issued by: The United States government; a state or U.S. territory, or tribal government.

Credible Witness (SELECT STATES): someone who knows you who has the above type ID's willing to sign the notary journal on your behalf as a witness and take an oath that you are who you say you are.

ID RULE EXCEPTIONS (SELECT STATES) >> ONLY for the purposes of real estate conveyance and financing In addition to the other forms of acceptable identification, a notary may accept the following forms of ID: 1. A valid unexpired passport issued by a national government other than the United States government and that is accompanied by a valid unexpired visa or other documentation that is necessary to establish an individual’s legal presence in the United States. 2. Any other valid unexpired identification that is deemed acceptable by the United States Department of Homeland Security to establish an individual’s legal presence in the United States and that is accompanied with supporting documents as required by the United States Department of Homeland Security.
Improper identification or forcing the notary to wait more than 15 minutes for identification will result in cancellation without refund.
Signers must be coherent and willing to sign. If a notary is not comfortable performing the notarial act because a signer is not willing or incoherent- no refund will be issued.
REMOTE ONLINE NOTARIZATION ID REQUIREMENTS
Remote Online Notary ID requirements may vary by state. However, all States accept a non-expired U.S. Drivers License or Passport. Select States allow Notaries to accept Foreign Passports such as Virginia and Florida. Pre-authorizing your ID prior to your session will always help you have a better experience.
During a Remote Online Notary session you will be required to provide one or two of the following:

Fees & Booking

Notary services are provided at an agreed upon fee prior to booking over the Internet and Phone.

The customer entering in their card information is at liberty not to accept the fee posted.

There is no obligation to purchase services.

Payment is required before services are assigned.

Sessions must be scheduled with at least 2 hours’ notice.
Acceptable Identification
-
ID rules vary by state. Generally, you may use a valid, non-expired U.S. Driver’s License or U.S. Passport. Some states also accept foreign passports.

Improper ID or delays of more than 15 minutes may result in cancellation without refund.
-
If you do not have an acceptable ID, a credible witness may be used to verify your identity, when allowed by state law.

Important: Simply joining a video call is not legally sufficient. You must complete the state-approved ID verification process.

To avoid delays, we recommend pre-authorizing your ID before your session.
Identity Verification Process
During your RON session, you may verify your identity using one or both of the following methods:

Knowledge-Based Assessment (KBA)
-
A short series of multiple-choice questions based on publicly available records (similar to a “soft” credit check).

You must answer at least 4 out of 5 questions correctly to pass.

The notary cannot see your answers.

Biometric Verification

The system compares your facial features to the photo on your ID.

If your appearance has changed significantly since your ID was issued, inform the notary in advance.

You must capture a live image of your valid, undamaged ID.
-
Some states may require additional verification steps. Your notary will follow all state-required procedures.
If Verification Fails:

Failing KBA requires a 24-hour wait before trying again.
-
Failing KBA or biometric verification means no refund.
-
You may reschedule within 24 hours without additional charge.
Appointment & Timing

Sessions follow strict schedules; a 15-minute grace period applies for signers.

Technology issues may require rescheduling.
Electronic Signatures & Acceptance

RON uses electronic signatures, legally valid under state and federal law.

Some agencies may refuse electronically signed documents.

The notary cannot guarantee acceptance, and no refunds will be issued if a document is rejected by the receiving agency.
Original Document Format

Once your session is complete, the electronic document is the original.

No physical copies will be mailed.

Your notarized document will be available for download or emailed after the session.
Service Completion:

A RON session is considered complete when the session is conducted and the fully notarized electronic document is delivered, regardless of whether any third party accepts the document.
Responsibilities & Legal Protections
By participating in a RON session, you agree that:

You are responsible for ensuring your document is acceptable to its intended recipient.

You will provide truthful information during ID verification.
-
If located outside the U.S., you must ensure the notarization is legal in your location.

All participants must have reliable internet, a working webcam, and microphone.
-
Any attempt to commit fraud or use false identification will result in session termination, no refund, and possible law enforcement reporting.

By agreeing to these terms and agreements it will be presented to your card provider in case of a chargeback. Payees also agree to pay all fees related to chargeback disputes.

JAIL AND PRISON NOTARIZAITONS
Jail and prison notarizations must include a proper identification, and this will vary by state. If you do not have proper identification (other than the state ID card) you must arrange for the inmate's state ID to be present. It is important to understand that our appointments are scheduled for 1 hour only for jail notaries. It is important for the scheduling party to ensure that the Jail will allow a Notary to enter the jail at the scheduled time prior to placing the order. Some jails and prisons prior pre-verification to enter. Also, please note it is ideal to try to obtain documents that do not require additional witnesses. Additional witness fees are costly and some jails and prisons will only allow one visitor at a time to complete a signing. You must confirm with your jail or prison location if they allow a Notary to enter.
Proper Identification:
Valid identification is required for all notarizations and varies by state. If the inmate does not have an acceptable ID (aside from a state-issued ID card), arrangements must be made to ensure the inmate's state ID is available at the time of the appointment.
Appointment Time:
Jail notary appointments are scheduled for one hour only. Please plan accordingly.
Facility Access:
It is your responsibility (the individual placing the order) to confirm that the facility allows mobile notaries to enter and meet with inmates.
Many facilities have on-site notaries and may deny entry to outside notaries. We do not coordinate or confirm access with the facility on your behalf.
Visitation Rules:
You must verify the facility's visitation hours and rules before booking. Some locations require pre-verification for notary access. Please inform Unlimited Ink of any special access requirements prior to the appointment.
Document Requirements:
Whenever possible, use documents that do not require witness signatures.
Witness requirements may incur additional fees, and many facilities allow only one visitor at a time, making it difficult to include witnesses.
For example, powers of attorney documents often require witnesses. Note that facility staff typically will not serve as witnesses.
Refund Policy:
Unlimited Ink Notary is only responsible for scheduling the notary. If the notary is denied access to the facility at the scheduled time, no refund will be issued for the signing fee.
Reschedules: We do allow rescheduling of orders, however, we must receive ample notice. We will do our best to reschedule the time you wish but will not offer refunds if it is not the exact time you wish to reschedule. For reschedules you must make your attempt at least 12 hours prior to the requested appointment time in writing to contact@unlimitedinknotary.com.
Cancellations: All services are non-refundable once paid unless canceled in writing to contact@unlimitedinknotary.com 24 hours prior to the requested appointment time. By agreeing to these terms and agreements it will be presented to your card provider in case of a chargeback. Payees also agree to pay all fees related to chargeback disputes.
Cancellations or Reschedules requested within 2 hours of the requested time are subject to full payment unless the contractor has not began travel to the location. Please note some contractors must travel up to 1 hour and 30 minutes.
Document Translation & Apostille Terms and Conditions
These Terms and Conditions ("Agreement") govern the purchase and use of translation services provided through Unlimited Ink Notary, doing business as Notary Stars, Certified Document Translation, and any affiliated entity under the Unlimited Ink Notary umbrella (“we,” “us,” or “our”). By placing an order through any of our websites or platforms, the customer (“you” or “Client”) agrees to be legally bound by the terms outlined below.
1. Scope of Services
1.1. Unlimited Ink Notary works in strategic partnership with a network of reputable professional translators and certified translation companies.
1.2. All translation services offered are intended for documents requiring certification for use with domestic and foreign governments, including but not limited to immigration, legal, academic, and business purposes.
1.3. Translations are performed by native-speaking professionals and reviewed for compliance with ISO 9001:2018 standards.
2. Turnaround Time and Scheduling
2.1. We do not offer same-day translation services.
2.2. Orders may only be scheduled based on our publicly posted turnaround times, which vary based on volume, complexity, and language.
2.3. Clients who attempt to schedule services sooner than our posted turnaround timeframes waive any right to refund or cancellation based on delay.
2.4. All delivery timelines are estimates, not guarantees, though we strive for timely service.
2.5. Turnaround time is calculated from the moment the order is paid for, and that we will not proceed until payment is received; verbal or email communication is not considered confirmation of the project.
3. Translation Certification
3.1. All certified translations are delivered with a Certificate of Translation issued on the translation department's letterhead.
3.2. The Certificate affirms:

The translation is a true and accurate representation of the original.

The translator is fluent in both the source and target languages.
-
The translation was produced in accordance with ISO 9001:2018 accreditation, verified via annual independent audits.

The declaration is made under penalty of perjury.
3.3. Translations are certified electronically and do not contain a wet signature, unless specifically requested and approved in writing prior to processing.
3.4. All certifications are notarized by an Arizona-based Notary working with Unlimited Ink Notary. Notarization is provided at no cost — the $50 fee is for certification services, which is shared between the Translator and Notary.
4. Modifications and Client Requests
4.1. We allow minor adjustments to names, addresses, or formatting in translations when supported by clear documentation.
4.2. We do not accept directive instructions from clients regarding how translations should be rendered, as our translators are obligated to provide a correct and professional interpretation of the original content.
4.3. Attempts to influence or override translator decisions may result in service denial without refund.
5. Document Submission & Delivery
5.1. Clients are responsible for uploading legible and complete documents to our platform at the time of order.
5.2. Final translations and certifications are delivered electronically via email or secure download.
5.3. Physical delivery of certified documents is available upon written request and may incur additional charges.
6. Refunds and Cancellations
6.1. Due to the nature of customized language services, all sales are final once translation work has begun.
6.2. Orders may be canceled for a full refund only if requested in writing prior to commencement of translation.
6.3. Orders scheduled outside of our turnaround policy (i.e., for sooner than we offer) are ineligible for refund.
7. Apostille Services
7.1. Apostille services are offered separately and priced individually. Each Apostille is unique based on destination country and jurisdiction requirements.
7.2. Clients understand that Apostille timelines and acceptance vary by state and country. We cannot guarantee acceptance for foreign use in jurisdictions known to reject electronic certification.
8. Limitation of Liability
8.1. Unlimited Ink Notary, its DBAs, and partners shall not be liable for:

Errors due to illegible, inaccurate, or incomplete original documents.

Rejections by third parties outside our control (e.g., foreign governments, embassies, schools, or courts).

Consequential or incidental damages, including financial loss or delays in processing unrelated applications.
8.2. Our maximum liability shall not exceed the total amount paid for the specific service purchased.
9. Dispute Resolution
9.1. In the event of a service issue or concern, you agree to provide us with at least fifteen (15) calendar days to review and remedy the matter prior to initiating chargebacks, legal action, or public complaint.
9.2. Disputes that cannot be resolved amicably may be submitted to mediation in Maricopa County, Arizona, prior to arbitration or litigation.
10. Indemnification
You agree to indemnify and hold harmless Unlimited Ink Notary and its affiliates from any claims, liabilities, or damages arising from your misuse of our services or breach of this Agreement.
11. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Arizona without regard to conflict of law principles.
12. Updates and Modifications
We reserve the right to update these Terms at any time. The latest version will always be available on our website, and continued use of our services constitutes acceptance of any changes.
By purchasing translation services through Unlimited Ink Notary, Notary Stars, Certified Document Translation, or any affiliated entity, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
Photo Inspection Services
Appointment Time:
Appointments must be made during working, day-light hours, between 8 am and 6 pm. Appointment times must be selected at the time of ordering and are subject to cancelation and rescheduling fees.
Safety & Structure Access:
Clients are responsible for creating access to property, land, or structures prior to the contactor's arrival. Contractors will not schedule meeting times or show up unannounced to any property or structure for safety reasons. Contractors and Unlimited Ink Notary reserve the right to deem a property non-serviceable without refund for safety issues, health issues, or sanitation issues - with photographic proof of inability service.
Client Requirements:
Clients must secure the time and location as well as permission for photography of properties.
Refund Policy:
Unlimited Ink Notary is only responsible for scheduling the contractor and ensuring the order is properly delivered back to the client. Special requirements for any order may result in additional fees. Please make sure to add any special request to your order and our team will let you know prior to your request if any additional fees are calculated.
Reschedules: We do allow rescheduling of orders; however, we must receive ample notice. We will do our best to reschedule the time you wish but will not offer refunds if it is not the exact time you wish to reschedule. For reschedules you must make your attempt at least 24 hours prior to the requested appointment time in writing to contact@unlimitedinknotary.com.
Cancellations: All services are non-refundable once paid unless canceled in writing to contact@unlimitedinknotary.com 24 hours prior to the requested appointment time. By agreeing to these terms and agreements it will be presented to your card provider in case of a chargeback. Payees also agree to pay all fees related to chargeback disputes.

These terms and conditions apply to Unlimited Ink Notary, Notary Stars, Notary Challenger, Arizona Mobile Notary Public Services, Arizona Mobile Notary Services, Remote Online Notary Network, Certified Document Translations and any company under the Umbrella of the Parent Company Unlimited Ink Notary.
